Founder & Chief Executive Officer
This is probably one of the biggest pieces of advice I have for business owners, and I will likely repeat it a few times in the future, because it matters that much.
Take this from a marketer. I have been doing this for ten years as a freelancer, and I have spent the last six running my own marketing agency. So I am telling you this from both sides of the table. You cannot take your hands off your marketing just because you hired someone to help with it.
It does not matter if it is your socials, your blogs, your website, your emails, or your engagement. None of it changes the rule. You hired help, but you did not hire a replacement for your own awareness. In this post, I want to explain why staying in the loop is non-negotiable, what good help actually looks like, and how to set up a partnership that keeps you informed instead of in the dark.
Let me clear up a misunderstanding I see all the time. Business owners hire a marketing company and breathe a sigh of relief, thinking, great, that is off my plate forever. Help is wonderful. Disappearing is dangerous.
There is a big difference between delegating the work and abandoning the oversight. You can absolutely hand off the doing. You should not hand off the knowing. A good marketing agency takes tasks off your plate while keeping you fully aware of what is happening and why. The moment you go completely hands-off, you stop being the owner of your marketing and become a passenger in your own business.
So delegate freely. Just never delegate your awareness. That part stays with you, always.
Summary: Hiring marketing help means delegating the work, not abandoning oversight. Hand off the doing, but never hand off the knowing, or you become a passenger in your own business.
Here is the first big reason this matters. It is your business and your vision, and no one can hold that vision the way you do.
A marketing agency, no matter how good, is executing your vision, not replacing it. If you are not completely in the loop on what is going on, you cannot tell whether your business is actually heading the direction you expect. You lose the ability to course-correct, to say that does not feel like us, or to catch something drifting off track before it becomes a real problem. Staying informed is how you keep your marketing pointed at the future you actually want.
When you stay in the loop, you stay in control of the direction. When you check out, you hand the steering wheel to someone who can only guess where you wanted to go.
Summary: Your marketing executes your vision, so only you can tell if it is on track. Staying in the loop lets you course-correct and keep everything pointed at the future you actually want.
Now here is the reason that really keeps me up at night for business owners. What happens if something happens to that marketing company?
Agencies are not forever. The data is sobering. The average agency-client relationship lasts less than three years, and poor communication is one of the leading reasons those relationships end. People move on, companies close, contracts end, things change. If that day comes and you are way too far out of the loop, you cannot step in and take over, because you do not even know where your own marketing lives. This is also exactly why owning your assets matters so much. Your website, your domain, your accounts, and your analytics should be in your name and accessible to you, not locked inside someone else’s account.
I worked with a business owner in Phoenix who came to me after their previous agency vanished. They had no logins, no access to their own website, and no idea what had even been done. We had to rebuild from scratch, all because they had handed over everything and stayed in the loop on nothing. Do not let that be you.
Summary: Agency relationships average under three years, so plan for the day yours ends. Keep your website, domain, accounts, and analytics in your own name and stay informed, so you can always step in and take over.
Here is the good news. You do not have to choose between getting help and staying informed. The right people will actually work with you, not around you.
So what does the right relationship look like? The analytics go to you, not just to them. They talk to you regularly. They send you screenshots and updates so you can see the work happening. They tell you honestly what has not worked, instead of hiding the misses. And many will run regular strategy meetings, even weekly ones, so you are part of the thinking, not just the billing. This is the difference between a partner and a black box, and it matters. Research from AgencyAnalytics found that 80% of clients say transparency is crucial to the agency relationship, but only 56% actually experience it. That gap is exactly where business owners get burned.
A great marketing consultant or fractional CMO operates this way by design, treating you as a partner in your own strategy. If the people you hired keep you in the dark, that is not a style choice. It is a red flag.
Summary: The right people work with you transparently, sending analytics, screenshots, honest updates, and even weekly strategy meetings. Since only 56% of clients experience the transparency they want, being kept in the dark is a red flag, not a style.
Of everything in your marketing, your website and your search engine optimization are two areas where staying in the loop pays off the most, because they are long-term assets you own.
Start with your website. Make sure your domain, your hosting, and your logins are in your name, and that you or someone you trust always has access. Whether you hired a web developer or an agency for your website design, the site is yours, and you should never be locked out of your own home base. Then there is SEO. Search engine optimization is slow, compounding work, which makes ongoing reporting essential. The right SEO company or SEO agency gives you access to your own analytics, your Google Search Console, and clear reports on rankings and traffic, so you can see the progress building over time. If an SEO provider cannot or will not show you the data, that is a sign to walk away. You are paying for results you should be able to see with your own eyes.
Summary: Your website and SEO are owned, long-term assets, so stay especially close to them. Keep your domain and logins in your name, and insist that your SEO company shares analytics, Search Console, and clear ranking reports.
The same principle covers the rest of your marketing, especially anywhere your money is moving.
If you use social media management, your social media manager should keep you posted on what is performing and what is not, and the accounts should belong to you, not the agency. With email marketing services, you should own your email list and see how your campaigns are doing, because that list is one of your most valuable assets. And if you are running paid ads or PPC campaigns, staying in the loop is critical, because that is real money leaving your account every day. You should always be able to see what you are spending and what it is bringing back. If understanding any of this feels intimidating, that is what marketing training and corporate marketing training are for, and a little marketing support goes a long way toward helping you read the reports with confidence.
Summary: Stay in the loop across socials, email, and especially paid ads, where real money moves daily. Own your accounts and email list, and use marketing training or marketing support to read the reports with confidence.
The best time to protect yourself is at the very beginning, before you ever hand off a single task.
When you hire any marketing agency or digital marketing agency, set the terms up front. Make sure every account is created in your name with you as the owner. Ask exactly how often you will get reports and who your main contact is. Request access to your analytics from day one. Agree on a regular check-in or strategy meeting. The right partner will happily say yes to all of this, because transparency is how good people operate. The wrong one will resist, and that resistance tells you everything you need to know before it costs you. Set the relationship up so that staying in the loop is built in, not something you have to fight for later.
Summary: Protect yourself from day one. Put every account in your name, agree on reporting and check-ins, and request analytics access up front. A good marketing agency says yes to all of it, while resistance is a warning sign.
You cannot take your hands off your marketing just because you hired someone, no matter how good they are.
It is your vision, so you need to stay completely in the loop to keep your business headed where you want it to go. And because no marketing company lasts forever, you need to stay informed enough to take over if you ever have to. The right people make this easy. They send you the analytics, talk to you, share the screenshots, tell you what has not worked, and treat you as a partner. The wrong ones keep you in the dark.
Hire the help. Keep the awareness. No matter what, always stay in the loop.
